Privacy Policy
Last updated: October 25, 2026
This Privacy Policy explains how GHZ-ART Gallery LLC ("GHZ-ART Gallery", "we", "our" or "us") handles personal information in the GHZ Collector & Commission Hub at collector.ghzartgallery.com (the "Hub").
It applies to the Hub only. Our main gallery website and our Artshop are separate services with their own policies, which are linked at the end of this page and describe those services rather than the Hub.
1. Information you give us
We collect the information you choose to submit while using the Hub. Depending on what you do, this may include:
- Account details: your email address and password if you register with email, and the verification code we send you. If you choose "Continue with Google", sign-in is handled through Google and our hosting platform.
- Inquiries and messages: your name, email address, phone number, country, preferred way to be contacted, subject and message, and details about your interests, such as your purpose, collecting experience, preferred mediums or styles, budget indication and timing, and how you found us.
- Commission briefs: your name and contact details, and the details of the work you describe, such as its purpose, recipient, location, medium, scale, style, colour considerations, reference artists, things to avoid, timeline, deadline, budget range and any reference files you provide.
- Commission progress and feedback: milestone updates and summaries the gallery shares with you about your commission, and the rating and comment you submit through a feedback link.
- Collector profile: if you are working with the gallery as a collector, the gallery team may keep a profile with your contact details, interests, preferences, budget indication, collecting purpose, notes and follow-up information.
- Consultation bookings: your name, email address, and the date, time, time zone and type of consultation, with any notes you give. Bookings are made on Calendly (see section 4).
- Saved works: the artworks you save to your list while signed in.
2. Information collected automatically
- When an inquiry or commission brief is submitted, we record the IP address it came from and a technical hash of the submission. We use these to limit repeated or automated submissions.
- To keep you signed in, the Hub stores sign-in information and settings in your browser's local storage.
- The Hub is hosted on Base44, which provides usage analytics for apps it hosts; that feature is enabled for the Hub. The data it collects is described in Base44's own privacy policy. We have not added advertising, social-media pixel or third-party analytics scripts of our own to the Hub.
3. How we use information
- To create and manage your account and keep you signed in.
- To respond to your inquiries and contact you by your preferred method.
- To assess, plan and deliver commissions, including milestone reminders and progress updates.
- To arrange consultations and to understand your collecting interests so the gallery team can advise you.
- To send service emails from the Hub, such as inquiry confirmations, commission reminders and progress updates, and requests for feedback.
- To protect the Hub from spam and abuse, to fix problems, and to meet legal obligations.
4. Service providers and integrations
We rely on the following providers to operate the Hub. Each handles information under its own terms and privacy policy.
- Base44: hosting, database, sign-in and the backend functions that process the Hub's forms.
- Google: sign-in if you choose "Continue with Google". The gallery team may also use Google Calendar and Google Sheets to manage consultation schedules and records.
- Resend: delivery of the service emails sent from the Hub.
- Calendly: consultation booking. When you choose "Book on Calendly" you leave the Hub and Calendly's terms and privacy policy apply to what you enter there. Calendly shares booking details with the gallery.
- WooCommerce and WordPress: artwork and artist information from our Artshop and gallery website is synchronised into the Hub so it can be displayed.
5. Sharing
Your information is visible to the gallery team and to the providers listed above as needed to run the Hub. We do not sell, rent or trade your personal information. We may disclose information where the law requires it or in response to a valid legal request.
6. External links
The Hub links to other sites and services, such as our Artshop, Calendly, WhatsApp and social-media platforms. Those links open outside the Hub, and we are not responsible for the privacy practices or content of other sites.
7. How long we keep information
We do not currently publish fixed retention periods for Hub records. We keep information for as long as it is needed for the purposes described in this policy. You can ask us about specific records using the contact details below.
8. Your choices and requests
You can ask us to access, correct or delete information we hold about you, or to stop contacting you, by emailing us. We will review each request under the law that applies to us. Some information may need to be kept for legal or business reasons.
9. Security
We use measures we consider appropriate to protect personal information, and access to Hub records is restricted by account role. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
10. Children
The Hub is not intended for anyone under 18, and we do not knowingly collect personal information from minors.
11. International processing
Our service providers may store or process information in countries other than the one where you live.
12. Changes to this policy
We may update this policy from time to time. Changes are posted on this page with a new "Last updated" date.
